Annual Reporting in Your Birth Month

In order to continuously receive your pension benefits, you need to have us check annually if there is any change in your eligibility. If we have your My Number which is an Individual Number for social security and tax purpose, we can access your necessary information on the Basic Resident Registry Network to confirm if you are eligible to continuously receive benefits.
However, My Numbers are not assigned to people who do not have registered address in Japan, such as people living outside of Japan. Or, there are people who do have My Numbers but somehow we do not have their My Numbers yet.
If we do not have your My Number, we ask you to report about your information annually in your birth month, by sending us your Report on Pensionerʼs Status called “GENKYO TODOKE.”
Please note that if you fail to submit the report by the due date, your pension payment will be suspended until we receive it.

How to send your “GENKYO TODOKE” report

The report form is sent to you from our Headquarters at the end of the third month prior to your birth month.
You need to fill in your name, address and other necessary information and return it enclosing documents as below, to our Headquarters. Your completed form must be received by us by the end of your birth month.

Documents to be submitted

You need to submit any valid document issued by public authority to verify your residence in the country. If you are a Japanese, you may submit a certificate of residence ZAIRYU SHOMEISHO which can be issued by Japanese consulate in the country. What if you do not receive the report form?

If you do not receive “GENKYO TODOKE” form due to postal situation or other reasons, please print the appropriate report form on our HP as below and submit the completed form with proof of residence to the address below, without waiting for the report form from JPS to arrive.

For those who cannot print the “GENKYO TODOKE” form, write your Basic Pension Number, name, date of birth, address, and reason for submission (e.g., the report form has not arrived) on any piece of paper. Then enclose the certificate of residence or other documents and send to:

How to send your “GENKYO TODOKE” report

Early in your birth month every year you will receive the report form which is sent directly from our Tokyo Headquarters. You need to fill in your name, address and other necessary information and return it enclosing documents as below, to our Headquarters. Your completed form must be received by our Headquarters by the end of your birth month.

Documents to be submitted

From February 2017, you need to submit a certified copy of Japanese Resident Registry (JUMINHYO), or you need to fill in your My Number on the report form. If you once registered your address in Japan but currently reside outside of Japan, you also need to enclose “Notification of Registration (Change) of Address/Pension-receiving Financial Institution of Pension Recipient Residing Outside Japan.”

When you fill in your My Number on the report form, you need to submit a photocopy of document to verify that the number is correct* and that you are the genuine holder of the Number.**
* For example, copy of your My Number Card which shows your Number
** If your name and address are already printed on your report form when you receive it, you do not need to submit document to verify you are the genuine holder of the Number.

What if you do not receive the report form?

If the report form does not reach you by the middle of your birth month, please contact your nearest JPS branch office, or the municipal office of your place of residence. Please note that we do not send you the report form in following cases, because your reporting is not necessary:

  1. A full year has not yet elapsed between your first pension entitlement date (you can find the date on your Pension Certificate), and the final day of your next birth month.

  2. Payment of your total pension benefit is stopped.

  3. A full year has not yet elapsed between the date your stopped benefits start to be paid again, and the final day of your next birth month. (Except for the case that you are a working beneficiary with full benefits suspension and then your stopped benefits starts because you retire or your remuneration reduces.)

Reporting Disability status

To disability pensioners, our headquarters sends a form “report of disability status: medical report (SHOGAI JOTAI KAKUNIN TODOKE)” in a specific year we need your report. You receive it in the end of the third month prior to your birth month in the year.
When you receive the report form, you need to have your doctor fill in the medical report section with the diagnosed information on your current disability condition, then you need to return the completed report to our Headquarters so that we receive it by the end of your birth month. If we do not receive completed report by due date, we cannot confirm your disability condition and it may result in temporary suspension of benefits payments.

Change of Bank Account

For pensioners outside of Japan

If you want to nominate or change a bank account for direct deposit of your pension benefits, you need to submit “Notification of Registration (Change) of Address/Pension-receiving Financial Institution of Pension Recipient Residing Outside Japan (GAIKOKU KYOJUSHA JUSHO / KINYU KIKAN HENKO TODOKE)” to JPS.
In the report make sure to enter all information, including Bank’s SWIFT (BIC) code and location (city name), and state (province) and city name of the pensioner’s place of residence. In principle, you can nominate a bank which has SWIFT (BIC) code.
You need to attach evidence documents such as a copy of your bank statement, checkbook or passbook which shows the bank name and your account number.
If you want to receive your pension by direct deposit in a Japanese bank, you need to submit “Report of Bank Change (UKETORI KINYU KIKAN HENKO TODOKE.)”
Please provide a copy of evidence document such as bank statement and passbook to verify the name and account number of your bank .
Please note that you cannot receive pension benefits in Japan Post Bank YUCHO GINKO account while you live outside of Japan.
You can send the reports by post to JPS Headquarters or JPS branch office in charge of your latest residence in Japan. 

For Pensioners in Japan

If you want to nominate or change a bank account for direct deposit of your pension benefits in Japan, you need to submit “Report of Bank Change (UKETORI KINYU KIKAN HENKO TODOKE).”
Please provide a copy of evidence document such as bank statement and passbook to verify the name and account number of your bank.
You can submit the report to your nearest JPS branch office or pension consultation center (PCC.).

Change of Address

For pensioners outside of Japan

When you relocate while living outside of Japan, you need submit “Notification of Registration (Change) of Address/Pension-receiving Financial Institution of Pension Recipient Residing Outside Japan (GAIKOKU KYOJUSHA JUSHO / KINYU KIKAN HENKO TODOKE)” to JPS.
When entering new address in the Report, please make sure to fill in “Block number, street name, room number,” “City name,” “State/Province name,” “Zip code,” and “Country name.” Enter “State/Province name” only if applicable.
If you are receiving old-age pension in a country which concludes a Tax Convention with Japan, your income tax on pension may be exempted if you apply for exemption.
Please send the report by post to JPS branch office in charge of your latest place of residence in Japan or our Headquarters. 

When you move into Japan, you need to report JPS your new address which you registered to the municipal office of your place of residence. You need to submit “Address Change Report (JUSHO HENKO TODOKE)” to your nearest JPS branch office or pension consultation center. If you want to receive letters from us to another address, you also need to submit this report.

Name Change

If you change your name, main report you need to submit to JPS is “Report of Name Change (SHIMEI HENKO TODOKE.)” With this report, you need to provide evidence documents which clairfy why you changed your name, and return your Pension Certificate.
In addition, your need to submit extra report depending on cases:

  • If a survivors’ pension recipient changes his/her name due to marriage or adoption*, you need to submit “Report of Eligibility-end for Survivor’s Pension (IZOKU NENKIN SHIKKEN TODOKE)” together with “Report of Name Change.” It is to report that you are no longer qualified to receive survivor’s pension.
    * Excluding adoption by a lineal relative by blood, such as parents, grandparents, children, grandchildren, or a kinship relation resulting from marriage such as parents-in-law, children-in-law
  • If your name change is NOT due to marriage or adoption, i.e., returning to a maiden name, you need to submit “Report of Reason to Change Name (SHIMEI HENKO RIYU TODOKE)” together with “Report of Name Change”.

If you live in Japan, please submit the report to your nearest JPS branch office or pension consultation center.

If you live outside of Japan, send the report by post to JPS Headquarters or JPS branch office in charge of your latest place of residence in Japan.

Death / divorce of spouse / children : change in Additional Pension

You must report JPS your divorce or death of spouse or children who are subject to additional pension benefits by submitting “Report of End of Additional Pension Eligibility for Spouse and Child (KAKYU NENKIN TAISHOSHA FUGAITO TODOKE.)” The report is to terminate your additional pension benefits if your spouse or child falls under any of the following cases;

  1. Death
  2. Divorces or marriage not valid
  3. Dissolution of adoption
  4. You no longer financially support spouse or child
  5. Marriage or adoption of child
  6. Child with disability becomes not eligible between age 18 (fiscal year end) and 20

If you live in Japan, please submit the report to your nearest JPS branch office or pension consultation center.
If you live outside of Japan, please send the report by post to JPS Headquarters or JPS branch office in charge of your latest place of residence in Japan.

Reporting a pensioner’s death

When a pensioner dies, his/her survivor needs to submit “Report on Pensioner’s Death (JUKYUKENSHA SHIBO TODOKE)" as soon as possible, to your nearest JPS branch office or pension consultation center.
You need to provide the documents of evidence such as a certified extract copy of your Family Registry (KOSEKI SHOHON), medical certification on death issued by a medical doctor.
If you fail to submit the report, the pension due the deceased person may be overpaid and the overpayment must be recovered.
If you live outside of Japan, please send the report by post to JPS Headquarters or JPS branch office in charge of your latest place of residence in Japan.

For Survivors: Claim of Unpaid Pension Benefits for Deceased Person

The pension benefit is paid for the month of the pensionerʼs death. When a pensioner dies, his/her survivor can claim for unpaid pension for the deceased person, by submitting “Claim for the Unpaid Pension / Insurance Benefits (MISHIKYU SEIKYUSHO)" together with “Report on Pensioner’s Death (JUKYUKENSHA SHIBO TODOKE.)"
The eligible survivors are the deceased person’s spouse, child(ren), parent(s), grandchild(ren), and grandparent(s), or sibling (sister or brother) and other immediate family member(s) within first, second and third level* who was/were living in the same household and sharing the living at the time of death of the person who had been receiving pension benefits. Priority is given to claimants in the same order.
* Other immediate family member(s) within first, second and third level
First level: Spouse of the children or parents of the spouse
Second level: Spouse of the grandchildren, spouse of the siblings, siblings of the spouse, or grandparents of the spouse
Third level: The great-grandchildren, the great-grandparents, spouse of the great-grandchildren, the nephews, the nieces, the aunts, the uncles, spouse of the nephews or the nieces, spouse of the aunts or the uncles, great-grandparents of the spouse, nephews or nieces of the spouse, or aunts or uncles of the spouse

You need to provide supporting documents for the Claim:
- Deceased person’s Pension Certificate
- Document to prove relationship between the deceased person and survivor, e.g., certified copy of Family Registry*
- Document to prove that the deceased person and the survivor lived in the same household*
- Copy of statements, passbook, or account certificate of survivor’s bank to receive the unpaid pension benefit**
- If the deceased person and the survivor lived separately, provide “Declaration of livelihood sharing and relationship.”
* Document must be issued after the date of death.
** If you choose bank outside of Japan, you must also submit the “Notification of Registration (Change) of Address/Pension-receiving Financial Institution of Pension Recipient Residing Outside Japan (GAIKOKU KYOJUSHA JUSHO / KINYU KIKAN HENKO TODOKE.)”
